Windy City Wolf – Insurance and Coverage Policy

To protect our customers and vehicles, Windy City Wolf enforces the following insurance and coverage guidelines:

1. Required Insurance
   All renters must have valid auto liability insurance that meets or exceeds Illinois state minimums. Proof of coverage is required at the time of rental.

2. Optional Coverage Plans
   Windy City Wolf offers additional protection for peace of mind:

   • Collision Damage Waiver (CDW): Reduces or waives your responsibility for damage to the rental vehicle.

   • Supplemental Liability Insurance (SLI): Provides extra liability protection for third-party claims.

   • Personal Accident Insurance (PAI): Offers medical coverage for you and your passengers.

   • Roadside Assistance: Covers lockouts, dead batteries, towing, and more.

3. Using Your Own Insurance
   Customers using personal insurance must provide valid proof. Renters are responsible for any damage not covered by their provider. We may contact your insurer to confirm coverage.

4. When Coverage is Voided
   Any coverage from Windy City Wolf is void if the vehicle is:

   • Driven by an unauthorized driver

   • Used unlawfully or recklessly

   • Taken outside the permitted area

   • Operated under the influence of drugs or alcohol

5. Renter’s Responsibility
   Renters are liable for:

   • Damage not covered by insurance

   • Interior stains or smoke odor

   • Lost keys or tire damage, unless protected under optional coverage

Windy City Wolf – Payment Method Policy

To ensure a smooth rental experience, Windy City Wolf requires all customers to follow the payment guidelines below:

1. Accepted Payment Methods
   We accept the following forms of payment:

   • Major credit cards (Visa, MasterCard, American Express, Discover)

   • Debit cards with a Visa or MasterCard logo (must be in the renter’s name)

   • Mobile payment apps (Apple Pay, Google Pay)

   • Prepaid cards are not accepted for initial rental deposits

2. Payment Timing

   • Full payment is due at the time of rental

   • A refundable security deposit will be held at the start of the rental and released upon return, pending vehicle inspection

   • Final charges (including tolls, fuel, or damages) may be processed up to 72 hours after the vehicle is returned

3. Security Deposits
   A security deposit is required for all rentals. The amount may vary based on the vehicle type and payment method. Credit card deposits are typically released within 3–7 business days depending on your bank.

4. Matching ID Requirement
   The name on the payment method must match the name on the renter’s government-issued ID and driver’s license. No third-party payments are accepted.

5. Late or Declined Payments

   • If a payment is declined, the reservation may be canceled

   • Late payment or charge disputes may result in additional fees and suspension of future rentals

Windy City Wolf – Cancellation and Modification Policy

At Windy City Wolf, we understand that plans can change. Our cancellation and modification policy is designed to provide flexibility while protecting vehicle availability for all renters.

1. Free Cancellation Window

   • Reservations may be canceled free of charge if done at least 24 hours before the scheduled pickup time.

   • Cancellations made less than 24 hours before the rental start time may be subject to a late cancellation fee.

2. No-Show Policy
   If you fail to arrive for your reservation without prior notice, a no-show fee may be charged and the reservation may be forfeited after a 1-hour grace period.

3. Modifying a Reservation

   • You may modify your reservation (time, date, or vehicle type) up to 24 hours before pickup, subject to vehicle availability.

   • Rate changes may apply depending on the new rental details.

4. Early Returns

   • Vehicles returned earlier than the agreed-upon time will not be refunded for unused rental days.

   • If you wish to end your rental early, please notify us in advance.

5. Extension Requests

   • To extend your rental, you must contact Windy City Wolf before your return time.

   • Extensions are based on vehicle availability and may incur additional charges.

6. Weather or Emergency Cancellations
   In the event of severe weather or documented emergencies, Windy City Wolf will review cancellations on a case-by-case basis and may waive fees at our discretion.

Windy City Wolf – Smoking and Pet Policies

To maintain the cleanliness and comfort of our fleet for all customers, Windy City Wolf has strict policies regarding smoking and pets in rental vehicles.

1. Smoking Policy

   • Smoking of any kind is strictly prohibited in all vehicles, including cigarettes, cigars, vaping, and marijuana (legal or not).

   • If a vehicle is returned with any indication of smoking (odor, ashes, burns, residue), the renter will be charged a cleaning and deodorizing fee of $250 or more, depending on the severity.

2. Pet Policy

   • Pets are allowed in rental vehicles only if properly crated or restrained.

   • Renters must ensure no pet hair, odors, stains, or damage is left behind.

   • A cleaning fee will be charged if excessive pet hair, stains, or damage is found upon return.

   • Cleaning or repair costs due to smoking or pets are the sole responsibility of the renter.

   • Additional fees may apply if the vehicle must be removed from service for deep cleaning or odor treatment.

Windy City Wolf – Minimum Age Requirement Policy

To ensure the safety of our fleet and compliance with insurance regulations, Windy City Wolf enforces the following minimum age requirements:

1. Minimum Age to Rent

   • Renters must be at least 21 years old to rent a vehicle from Windy City Wolf.

   • Renters between 21 and 24 years old may be subject to a Young Driver Fee.

2. Age Restrictions by Vehicle Type

   • Certain specialty, luxury, or high-performance vehicles may have a minimum age requirement of 25 years or older, regardless of driving history.

   • Age requirements will be clearly listed during the booking process for applicable vehicles.

3. License Requirements

   • All renters must have held a valid driver’s license for at least one year prior to the rental date.

   • Temporary licenses or learner’s permits are not accepted.

4. Additional Drivers

   • Additional drivers must also meet the minimum age and license requirements.
